Exhibitor FAQs
How can I get involved as an exhibitor/sponsor?Please email our SAVMA Symposium 2026 Fundraising Chair: Grace Gochnauer at fundraising.symposium2026@gmail.com. She will be able to provide you with our sponsorship packet and help you find the best fit!
How do I gain access to official registration?
Once you have confirmed your requests via email with Grace, she will add you onto our eShow registration list. Registration is currently paused until January 24th to faciliate booth space selection for existing exhibitors. We will reopen this process on the 24th in which new exhibitiors will be invited to register, select their booth space, and provide payment.
When and where is SAVMA Symposium 2026 happening? Where is the exhibit hall?
SAVMA Symposium 2026 is hosted by North Carolina State University CVM from March 12th, 2026 to March 15th, 2026. All lectures and the exhibit hall will be held at Raleigh Convention Center in downtown Raleigh, NC. Wet labs and day trips may be off-site.
When will I select my booth location?
Booth space selection from our exhibit hall layout has commenced via a stagerred invitation in descending tier order. Gold exhibitors are able to select their booths starting January 15th, 2026 and Silver exhibitors will be invited to select their space on January 19th, 2026. Pre-registered Bronze, Howl of Fame, Standard and Non-Profit exhibitors will be assigned booth spaces by the conference team and alerted of their location once selections are complete. For exhibitors registering during general sales, when you confirm your registration you will be invited to select your booth from the remaining available spaces in the layout.
How do I purchase name badges for those working my booth?
Name badges will be purchased at a later date and this process will be separate from the initial exhibitor booth/sponsor registration. Depending on your exhibitor tier, badges may be included in your registration cost. If they are not included in your package or you would like to purchase additional badges, they will be available at the rate of $70/badge.
What are the exhibit hall hours? When is move in and move out?
- Move In: Thursday March 12th - 8am - 5pm EST
-
If you will be loading in yourself (not shipping items through Carolina Convention Services - SAVMA Symposium's 2026 decorator) or will be using a 3rd-party vendor to deliver and set up your exhibit hall booth, and need access to the RCC loading dock, you will be asked to sign up for a time slot to stagger exhibitor move-in. This is due to our convention center being located in the heart of downtown Raleigh, and therefore we are unable to block off streets for load-in. The time slot will assure appropriate staff and support is there without blocking traffic.

This event is scheduled for Saturday, March 14th in the evening following the closure of the exhibit hall. Details including RSVP, location and official times are still pending.
Please note this event is not guaranteed to occur from Symposium to Symposium. Hosting is entirely at the discretion of the host institution.
My company would love to host a social event. How can I begin planning? When are the major Symposium events that we should avoid?
We encourage and welcome our sponsors to plan happy hours and socials to better engage the student community. While funding and planning efforts do fall solely on the host company, we would be happy to assist our sponsors in advertising your event to our attendees. Please email all relevant event details (title, time, place, etc.) to Grace Gochnauer at fundraising.symposium2026@gmail.com. We will make every effort to include it in our advertising efforts, as long as it does not conflict with SAVMA's own major events. Additionally, Grace has formulated a "Local Hot Spots" document, available upon request, to assist in your planning efforts.
Our current major Symposium events are as follows:
- Opening Ceremonies: Friday March 13th, 5:30pm-7:30pm
- Exhibit Hall Last Call: Saturday March 14th, 4pm-5pm
- Closing Ceremonies: Sunday March 15th, 8:30am-10am
How will I be billed for my booth/sponsorships?
During registration, you will be able to select payment via check or card. You will not be charged until your invoice is finalized by our team. We will also be adding on select sponsorships by hand on the back end (lecture, wet lab, daytrips etc.) in order to avoid confusion since these are all sold out at this time. For checks: please do NOT send a check until you receive a finalized invoice to assure the amount required is correct.
Which sponsorships or booth tiers are sold out?
Lectures, wet labs, day trips and meals are currently sold out. Additionally, the Howl of Fame booth tier has only one space remaining.
